3. Processing of your Data

We process your personal data in the course of operating our website. Below you will find information about the purposes and categories of data we process.

3.1 Hosting of our Website and Logging

Each time a user accesses a GLS website, data is recorded in a log file. The following data is temporarily recorded:

  • Date and time of request
  • IP address or DNS name of the requesting computer
  • Requested page (URL)
  • HTTP answer code
  • Client operating system and version
  • Browser and version

The temporary storage of this data is necessary to enable the delivery of the website to your device and to ensure the functionality of the website. With the help of anonymized data, we also gain statistical knowledge about the use of the GLS websites. In addition, we collect the data in order to be able to trace and prevent unauthorized access to the web server and the improper use of the websites and to secure our information technology systems.

We use the services of webhosting-providers, that process the above data on our behalf, to provide our web-services for you.

The log-files are deleted after seven days, unless we need the data for a longer period to prove or clarify specific legal violations that have become known within the retention period.

The legal basis of this processing is our legitimate interest in the continuous provision and security of our website according to Art. 6 (1) f GDPR.

3.2 General Contact Enquiries

If you contact us, we process your Name, contact details you provide and your message for the purpose of processing and handling your enquiry.

We store the data until your enquiry has been resolved.

If you contact us in relation to a contract with us or in relation to the services we offer, we process your data to fulfil the contract and/or to fulfil our pre-contractual obligations according to Art. 6 (1) b GDPR. If you contact us with general questions, the legal basis of the processing is our legitimate interest in processing and answering your enquiry according to Art. 6 (1) f GDPR.

3.3 Applications

If you send us an application, we process your application data for the recruitment process.

We process the following categories of personal data as part of the application process:

  • Basic data (e.g. first name, family name, contact data, e-mail address, phone number);
  • Application data and documents (e.g. application letter, CV, information regarding educational background, acquired skills, diplomas and certificates, employment history and references);

We process the data solely for the recruitment process, which is necessary in order to take the required steps prior to entering into a contract according to Art. 6 (1) c GDPR.

We store the data for 6 Months after the recruitment process is complete and you received a final answer.

Should the data be necessary for asserting or defending of legal claims after completion of the application process, data processing may be carried out additionally for the time period of the legal proceedings to safeguard our legitimate interests in asserting or defending of claims in accordance with Art. 6 (1) f GDPR.

3.4 International Talent Pool of the GLS Group

If you would like to be considered for future positions and openings, you may consent to being included in our talent pool.

If you consent, we store your data stated under section 3.3 in our talent pool and contact you if your profile matches a new job vacancy.

If your profile matches an international vacancy or a vacancy in one of our subsidiaries, we might share your application data with our recruiters in the relevant entity. We process your data on the legal basis of your consent according to Art. 6 (1) a GDPR and store the data until you withdraw your consent.

We use a technical service provider who processes the data on our behalf.

5. Your Rights as data subject

If legal retention periods require the storage of the personal data, it can only be deleted after the prescribed retention period expired.

Where our processing is basonsented on your consent according to Art. 6 (1) a GDPR or Art. 9 (2) GDPR you have the right to withdraw your consent at any time without affecting the lawfulness of processing based in your consent before its withdrawal.
